Please could someone tell me how to redifine the index to allow duplicate entries thanks

Hi merdoc,

try to change the index-settings of that field.
When you are in a table, change the view so that you are NOT in the Datasheet View (sorry got a non-English version of access; that is why I have to decribe some stuff because I don't have the proper English words). When a field is marked there should be the settings ("fieldsize", "formate" etc.) in the lower left corner of the screen. Change the settings for the 2nd from the lower end of the list ("Index" ?!) to "No" or "Yes (Douplicates possible)".
