I have a form with a subform attached.

on the Main form you select the student then you enter letters sent out in the subform.

Basically there may be 22 letters going out all the same just to different students.

so the standard letter type will always be the same as will the date field
I know you can duplicate a record if its the same student saw that in the wizard however is there away of "holding" the information in certain fields so that its autoamatically filled in when you select the next student?

So you have a 1->M relationship where one student can have many (upto 22), letters assigned to the student record?

I think that you ought to set a 'default letter setting' on a different dialog.... otherwise the options to preset such a setting on the form you describe - may present a rather confusing interface to the user.

I assume the standard letter types (22) are presented in the subform in a combobox display? The date is a text field...??

If you have to apply the same letter / date info to a number of students - how about creating another dialog box entirely, whereby the user selects the letter from a combo along with an appropriate date and then selects from a list of students (displayed in a subform), using check box selection. Simply tick the boxes for those students who apply. You can then run some VBA behind the Save button to retrieve all users who have the check box ticked and INSERT the appropriate records into the appropriate table.

Thanks that was very helpful! Will give it a whirl and try that
