I am using Access 2003 but I will soon be going onto 2007. Though I am very experienced with Word and Excel I know very little about Access.

I have setup up database to record, amongst other things, the days people volunteer to man the Visitor Centre at my local nature reserve.

When in the Table View the relevant columns contain (1) record number (2) month, (3) day of the week, say Mon, (4) date, say 21st, (5) morning period and (6) afternoon period.

I have set up a Query to select a range of records starting at a chosen record number and ending at another record number. In the Query I can therefore effectively see a calendar between certain dates with the name of those on duty. The selection of records is correct and the order is correct.

I then set up a Report so that I can print out the calendar in my chosen format. When viewing the output from this report I see that the format is correct, the number of records is correct but the order of records is incorrect. There are 110 records but they are listed something like 50 - 110 followed by 1 - 49.

Until recently the order was correct.

Now I appreciate that sorting can be done inside the report and I would like to know how I can check to see if I have inadvertently asked for some kind of sorting.

What puzzles me is that I cannot see any logical reason for the new order inside the report. As far as I can see there are no columns that appear to have been sorted into another order.

I would appreciate any help offered.

The answer is similar for a report from your other question about a form.

In a report you must use the report's SORTING AND GROUPING options (even sorts on queries will not come through properly).

My first post was made in error. I talked about a form when I meant report so I deleted the post in the Form section and basically asked the same question here.

It's unfortunate that your reply came so quickly that I could not make the cancellation request before it arrived.

Many thanks for both replies.

Unfortunately I have nothing in the report that is either in numerical order or date order due to the weird manner in which that date is stored in different columns.

I have more of less decided to rewrite the report using a single column for the date - it can then be used for sorting. I will have to go to a differnet forum to get help with creating a date from the ID number.
