I'm seeking some help in the creation of an appointment booking database for a disability support charity in South Wales.

We need a simple and straightforward appointment booking database which our volunteers can use. The ease of use is essential as they have a variety of issues and difficulties using computers, so accessibility is paramount. (If it is possible to have different size text and screen colours for different users like the accessibility settings on a website this would be fantastic, but not essential as we can use other software alongside the database).

In essence we want it to be a calendar displaying 30-minute time slots from 10am to 4pm (the "appointment window"), which a user can click into to add a new appointment. We want the appointment creation window to include fields for adding all relevant details for the client (Name, Address, Contact Details - these are important and should be mandatory fields), the member of staff who will carry out the appointment, the reason for the appointment, and the duration (the reason and duration should be linked so that for example, booking a "Benefits Enquiry" appointment will automatically set the duration to two hours and so on), also a location for the appointment (room numbers). The upshot of adding an appointment will be blocking out the unavailability of the member of staff and the location for the duration on the calendar so no one will try to make another appointment at the same time, and the automatic sending of an email to the member of staff with all the appointment details (this is very important as we do not have a central server which everyone will be able to access the database on to see what bookings there are).

The attached diagram indicates how we are thinking the structure will be, but as novices we really would appreciate more experienced database writers' input and assistance in getting it set up.

We hope this isn't being too cheeky, but as a charity we cannot afford to pay for this without jumping through the usual hoops associated with applying for grants.

We've looked at the suggested demo but it's giving us errors when opening - as novices we've no idea what the problem is.
