Adding, or changing a record with an Input Form.

I have this 2003 Access database set up by a person who left. I now want to be able to make a change to the Input Form to allow for new teachers’ names. But I cannot add a new teacher to this database.


I need to be able to assign a teacher to a student when I start to input their demographics. The records were set up, so that the seventh item above (school) is where we enter a teachers’ name whom that student is assigned to. When a teacher leaves, and a new teacher is hired, I want to be able to delete the old teacher Crowe (record), and add a new teacher (Barnes) to my listing, as seen below.

I had graphics to illustrate but they did not upload with the text due to size restrictions.


I tried going into design view and making changes, but the change never stays. To be truthful about it – I do not know what I am doing, so if one of you experts understands my problem, please offer me a solution. Thanks in advance. jcrawford@brookfieldelm.org

If I click on the Enter a New Teacher Name button (see the first diagram), I get the following error: “The form name ‘Entered a New School Form’ is misspelled or refers to a form that doesn’t exist. If the invalid form name is in a macro, an Action Failed dialog box will display the macro name and the macro’s arguments after you click ok. Open the Macro window, and enter the correct form name.”


I have a document with the forms and design view included, but am unable to upload it due to size restrictions (419kb). The forum only allows 100kb uploads.

Did you zip the file? A Zip file can be up to 785Kb.
 
My compression size is 382,000 which is still over the 100kb limitation. The original size is 406kb. So there is no way that I can send itas an attachment. But I will break it up into four parts an attach.

I added the first attachment but I do not see it.
 
When I upload the file as an attachment, I get an invalid file error (docx) which is an Office 2007 doc file. I guess this means I cannot upload MS Office 2007 files-makes no sense to me.

406 Kb is fine as long as it is a ZIP file.

You CAN upload those files (the forum has not been configured to allow the new file types, but you just need to ZIP the file! Right click on your file and select SEND TO > COMPRESSED FOLDER and then upload that file. So if your file name is

Test.docx

when you zip it, it then will become

Test.zip

It said it uploaded it at 64kb, but i do not see it attached anywhere-and I got no errors.

Looks like the control source is incorrect. It should not start with the = sign. It should just be selected from the drop down. The field actually looks like School should be selected and not teacher.
 
Here is my file #3 (Form) in which I am trying to change an object.
I do not know if any of this helps-I hope so.

You are correct about the source, however, that is how the designer set it up, so that when you click on the name school, the objects or fields have individual teacher's names in them-that is how we assign a student to his home room teacher.

This method has worked in the past because we have only seven teachers, whose names are already into the database. The problem I am now having is: one teacher left, and I need to take her out or just add in the new teacher's name (Barnes). That is where I am having the problem.

If you look at the three different forms I sent, they show this example.

1. Change the control source from =Teacher to simply Teacher

2. It is the ROW SOURCE of the combo box that pulls the teacher names. The new one should show up if you add that teacher to the table where the row source is pulling from.

If you have the form opened in design view, like you have shown in your screenshots and then select the combo box for the teacher and then go to the properties, you should see the ROW SOURCE property and then if you click on the Ellipsis (...) that appears to the right of it when you put your mouse into that property and left click then you click on the Ellipsis, it will open the query that makes up that row source. You can then see which table(s) are in that query. That is where the data resides - in one of those tables.

I will follow your suggestions. I have to leave today early, and I am out tomorrow. So it will not be until Friday until I get back onto this pressing problem.

Hi: This is for Bob Lawson, whom I was working with on 11/19/09, or for anyone who can tell me how to enter a new teacher's name.

I did take out the = sign in combo box 32, and in the Builder Expression dialog box. And I closed out the Form, and a message appeared asking me if I wanted to save the data (I inputed Barnes into the form, hoping it would save his name there-but I was working in the Student demographis Input Form). I answered yes.

Closed the form out and went back in, and Barnes was not listed as the eight teacher.

But a strange thing occurred. After taking out the equal sign, and closing out of design view, and going back into Form View, a test user I setup a long time ago, automatically filled in some of the line and under school, Barnes's name was there-I did not input this data, it always pops in after I switch back to form view.

But, no matter what I do, I cannot find where to save or add a new Teacher's name.

I think we're at the point where we need you to upload the actual database file instead of a screenshot. We are obviously not connecting via words here (not necessarily your fault or mine but we just can't seem to get an understanding).

To upload an Access 2007 file here first you compact it:

Round Office Button > MANAGE > COMPACT and REPAIR

and then you zip the file and it needs to be under 785Kb to post. If it winds up bigger than that, even after compacting and then zipping, we can arrange for you to send it to me.
 
While in design view, I followed Bob Lawson's last Post, and took out the (equal) sign in the Combo Box 32, and in its corresponding Expression Builder, where the Source stated =Teacher.

But it is not permanently removed because, when I close out of Design View and go into Form View, It's still not able to add an eight teacher to the list. And when I go back into design view, the = sign reappears.

But something strange happens everytime I close out of design view and enter Forms View-pre-existing data appears on some of the input lines, and Barnes's name is on the line labled "school."

This is from test data I inputed a long time ago.

Hope someone can help.
