Guys, (and galls), i have a subform on a purchase order form listing all the specific product details for that transaction, however i want all transactions for that purchase order to go on the same record and so need to either remove or lock out the ability for the user to use the navigation controls at the bottom of the subform to go to a new record, any ideas? Secondly the purchase order form then produces a purchase order report and the subform is causing me problems because although all details are listed it is doing it on seperate pages for each product. Can you tell me how to get all items on one record in the subform to show up on the same page of the report. Thanks in advance for any help you can give.

Small Problems

In the form properties on the Format Tab you can set 'Navigation Buttons' to NO. You can also set 'Data Entry on the Data Tab to 'Yes', when the form is being opened you will see a blank form for entry.

As far as the report, in Design View, go to View (toolbar), Sorting and Grouping.
Here you can set Keep Together to 'Whole Group', for the appropriate field.
That will keep the data together on one page.
Good luck. Trucktime

Thanks for your help. You have solved my problem on the first count easily although the user still needs to be able to access old records so the data entry to yes option is not something that i will use.

On the second count i still seem unable to get all the data in the subform to group together on the report. I have tried using the unique value for the main form and for the subform as the basis for the grouping on the report but it still displays each line of data on the subform record on a separate page along with all the relevant data from the main form. HELP!

Let's see

Perhaps you can attach the db to a new message, so we can check out the problem. We may be able to solve the problem, and then send it back to you.

Thanks

Thanks for your help trucktime. Have stripped out all potentially sensitive material. If you can work it out and let me know what the problem is/was it would be appreciated

Here's the report

Hi petehk,
I fixed the report. The problem was that you had the information from both the main form and the subform in the detail section. Only the info from the subform goes in the detail section. I also had to resize the width, so it would fit on one page for my printer. It may be alright for you though, so you may want to increase width again. Good Luck.
