Hello!

I have to design a table, in which i can keep a record of hours by date.

so on this day they had so many hours the next day this many and so on..

but i would like to have it by month

The scenario i am imagining is having a table with an option to select 1 from the 12 months then have 31 boxes from 1-31 for each day.. put them in a form so they can fill in the values, that way i can go back and search in a month how many hours very easily..

DO anybody have any other idea how to do this?

anything will be very helpful

thank you,

I think you can achieve this by having just one field for date, and then using queries and reports to find the information, totals or what ever you need. A query can sort, have parameters for day or month, etc.

Are you looking for some kind of Time Clock database? Is there going to be multiple people using this to record their hours?

In order to have a normalized database, you are going to have to have a couple of tables. At minimum, one for employee data and one to record the hours and date.

Well, since i got 2 very good replies let me explain the whole process.
I work for an Ag. company, and we are trying to plan a schedule for irrigation,
My fields in my table are Ranch, Block, Date, and hours and a couple more thing..
Well i want to make the data entry in my form as easy as possible and the way they had it was is an excel spreadsheet they would have a row for every ranch and block (455) and a column for every day of the month (1-31) so every month they would create a new one, where they would write in the number of hours wah block wa irrigated, which could be 3-4 times a month...

so theres the background..

Im open for any ideas....anything..

and thank you

Sounds pretty straight forward. First....hopefully you aren't using the word DAte as a field name...it's a reserved word in Access and will create heartache in the future.
Here is how I would set it up:

tblRanch
RanchID Primary Key
Block (Can a ranch have more than one block?)
Other Data

tblIrrigation
IrrigationID - Primary Key
RanchID - Foreign Key
IrrDate - Date of irragation
HoursIrrigat - Hours Irrigated

With the data split up like this, you can easily run reports for a variety of things.

Thanks and i have all that done as far as having normalized tables and all that, all my primary keys, for my ranch and block stuff...and i think that would work for a table and having all the data I need....but for data entry...i think it would be kind of hard to enter a date for time it was going to be irrigated (2-3) times for all 455 blocks...
thats why i was thinking of making a box for each day of the month..and just having them select the month they are going to be doing it and the block...and just go ahead and plan the schedule...fill in the days they are and the days that they arent...but it seems too long.......

So are all the blocks irrigated on the days that you want to record? Or are some of the blocks watered on one day and the schedule is rotated amongst the different blocks?

I guess i'm confused as to how the whole process works. Is this database going to be used to insure that all blocks get watered evenly?

well, as an example, on june 1, ranch 1 -block 1-5 and ranch 5 block 5-8 are irrigated 12 hours, then on june 2, ranch 1 blocks 6-7 and ranch 30 block 1-8 are irrigated 24 hours...etc...then the next week it might be the same or the hours can change...depending on the weather...But they make this monthly projections...
which they can update weekly....in case there is a change in weather or availability of water...

Well, what you could do is have a data entry from with unbound text boxes for the following information:

Ranch
Block Start
Block End
Date
IrrigationHours

You can then run an append query to add that data to the Irrigation table. Wouldn't be difficult to do via code.

Actually that sounds really good, I ll try that and them ill post back what i found...thanks for your time and feedback.
