I am exporting a very simple Report as an .rtf. When I open it in Word, the text is 12pt and the carriage returns are 13.5 pt Font. There are also really large gaps in the text. If I delete one of these gaps it breaks all of the following paragraphs into separate lines with a carriage return at the end of each line, instead of being a continuous paragraph.

The report has a Page Header and Footer and the detail section is simply 8 text boxes one below the other, each extending across the page. I have the Can Shrink property set to No and the Can Grow property set to Yes for each.

Any ideas or help on how to resolve this would be great.

Thanks!

Yes, it is a memo field. Is that the problem?

Have you set the control's CAN SHRINK property to YES and the also the Can Shrink property for that section the control is in as well.

Yes, the Can Grow and Can Shrink properties are set to YES for the Control and for the section the control is in.

The first page of the .rtf is formatted correctly, but after that there are single carriage returns that create large gaps and page breaks are inserted in the wrong places.

What I've found recently is that you want to make sure that you get rid of duplicates and blank fields in the underlying query/queries if possible so then the blanks don't even show up at all.

I reduced all of my tables to only 3 records, there are no duplicates, no blank fields. The query only includes the variables listed on the report. I also got rid of my headers and footers for the sake of troubleshooting. So the report is literally 5 Memo fields one after the other. The exported report still looks terrible. Page Breaks are placed arbitrarily (seemingly) breaking the text in the memo fields, not between fields and not in the same places as the breaks displayed in Access.

Any other suggestions?

Any chance of uploading a copy of the database?

I will see what I can do. I will have to remove all of the information and strip down the database. It is for a project where all the information has to be kept confidential. Where do I upload it?

As for removing the data, Bob Larson has a free tool (Database Reset Tool) which can quickly remove all data (and you can set exceptions so tables with no sensitive data can be retained with data) and then you can put in a couple of bogus records.

Make sure to do COMPACT AND REPAIR and then ZIP the file and if it then under 2Mb then it can be uploaded here.

K. Here it is. Thanks for all your help!

I found a work around that is good enough for now. I export the report as an .rtf. Then open the .rtf in Word and do a Find and Replace on the Page Breaks, then manually scan the report and delete the large carriage return. It only seems to happen once in each report. This is more labor intensive than I was hoping for since I will have about 150 reports, but for now it is better than nothing.

I read about someone writing code that inserts the text from an Access table into a Word document, so I may attempt this when I have some more time.

If anyone has another approach I would be grateful to hear it. Thanks.
