HELP!!!

I have created a database in which multiple users are accessing to fill out forms. I have 3 users in the local office, and 1 user in an out of state office.

During the first few days of data entry, we have found that the data completely erases from the database.

We have run some tests where one person opens the file (which is an .accdb file saved on each users desktop) inputs a few entries, saves and closes, a 2nd user does the same and the data saves correctly.

Our next test consisted of 2 users opening the files, inputting data, saving and closing, with no problems.

The 3rd test consisted of the out of state user opening the files with us, when this happened all the data inputted this morning (by both the local people) disappeared and was erased.

is there a setting in Access that can fix this? What are we doing wrong? does anyone have an idea of what could possibly cause this?

Please can you clarify - does each user have their own .accdb front end linking to data located in a separate access backend on a LAN server (not using dropbox for example) or something like sharepoint or azure on a WAN?

Also how does your out of state person connect? via VPN? remote desktop?
 
You will need to do a number of things, firstly split your database so that each user has a copy of the front end (FE), forms queries reports etc, and the back end database (BE) just the tables, is stored on a central network location.

Secondly your remote user. Access does not like working over a WAN. You may need to look at setting up a remote desktop type solution unless you have a very high speed WAN set up with tiny contention, and no drop outs.

We have completed the separate files. Every user has a FE file on their desktop (just the forms) and the BE file is located on the server (set up just as a table). We believe the network may be the problem as well. Where when the out of stater logs on, his file overwrites ours, causing our inputted records to disappear.

This is all good information. I have our IT looking into this and will keep you all posted if this is not the case. Thank you for your help!
