Update records with many to many relationship

I have a many to many relationship db in which I have a main form with a subform. The main form consists of a combo box to select an employee, then the subform lists all of the training docs for that employee. I have a command button to open a pop up form for the employee to add a new document to their records, but it is not a "new" document to the db. When I enter this new record, it creates another record in the Documents table creating a duplicate document number. I would like to have it, if it is an existing document in the db, create a new record in the "Combined" table and, if it is in fact a currently non-existent document to add it to the "Documents" table and the "Combined" table. Is this possible?

Just an idea

On the form that the employee uses to add documents, use a combobox for the document selection, then you can use the OnNotInList event, or an AddNew button to allow them to add a document to the master Document table.
