urgent question: date sorting

I'm going to try to explain this as best as I can. I'm completely new to Access. I'm actually an Excell person, but I believe what I'm after is easier in Access. Ok. in the first column, I have a list of names, the second column is list of departments that the names of these employees correspond to. Columns 3 through 6 are expiration dates for 4 different types of forms. The column headings of the types of forms. What I'd like to do is be able to press a button that will pop up a box of some kind that will list all expiration dates in any of the 4 columns (3-6) that are in the upcoming month OR before prior to the current date. I'd like to be able to look at the box and see a column that shows JOE of the TRANSPORTATION department needs to have his MEDICAL FORM updated by 6/29/02. This may be relatively simple, but I have no clue what I'm doing and I really need someone's help. If anyone has the knowledge and tme to help me, I'd greatly appreciate it! I'll be checking this periodically if anyone has any further questions, but I'm seriously going to need a simple step by step instruction on how I can do what I'm asking for. Currently, all I have is the table with all the information in it. Thanks for your time. I hope to learn something.

It seems that your database has a couple of fundamental flaws that will need to be addressed in order for you to get your desired result.

The question you asked is an easy one but only if your database is structured correctly. You should not have a seperate column for each form.

The way your database should be constructed is with 2 seperate tables. One should hold the personnel detail - name,address,dept or whatever and should include a primary key autonumber field (ID_No) this will act as the link to other tables.

The 2nd table should contain the fields - ID_No, FormName,ReviewDate. You should then have a link between the 2 so that you can add detail to form2 which will have the ID_No of the person.

When this is all done, you can then create queries which will interrogate the 2nd table and draw detail from the first to give you the persons name and whatever else you need.

You can then automate loads of stuff to run the queries which will tell you who's form is due on opening of the database.

If you have the 2 tables - you only need to enter the persons detail once and then you can have as many formReviews as you like for each person.

Col, thanks so much for clearing up my mistakes, but I think I may need a little more help. I did what you said about the 2 tables. Then I created a link between them, I think. I used the Relationships option. I don't know if that has anything to do with it or what, but anyway. Then I created a query that lists both tables' info. Now I'm stumped. You said I can automate and interrogate stuff and I believe you, but I don't know how. I know this is probably really simple stuff, but I'm just learning. Are you talking about using VB script because I know some of that, but only for Excel. How can I get it to find all the dates in the one table that occur in this month or prior to this date, list them in chronological order, and include then also the name, department, and column heading (of the date)? thanks for your time.

Firstly - don't worry about the fact you may be posting "simple" stuff, simple is relative anyway. Thats what this forum is for, we're all helping each other and anyway we all had to start somewhere.

I think the best thing I can do for you (as I'm unsure of your level of expertise) is for me to knock you up a sample of what you need to do.
