Reporting for All (Main form and Sub Form)

Hi there,

I am a guide leader - and I am switching to a database to keep track of my unit's completed program and badge work.

I got some help late last week in setting up the forms - but now I need help to set up the reports.

I want to be able to report the following:

  • A main report that shows all of the "active" members and their current status. (Just the information available on the main form)(got this one done :) )
  • A report that can be generated per girl (when on their record) that would show all the information for them (main form information, parts of the program forms (not all of the data), and all the badges.)

I included the database as it is set up right now. I have been working on it over the weekend - all the forms and tables are in place, and the data has been filled in.

Where do you exact have the problem, (because we can't make the report for you, we don't know how you want it)?
 
Okay well looking at it now (especially since I have been trying for a few days) I am starting to think that I am having trouble with the query side and not really the report side (though I thought they were one and the same in the beginning). I don't need help making the form look pretty and organized - I figured that out while making my first one. The trouble I seem to be having is pulling only the information I need. Whenever I try to make the report all I end up with is no name and all the check boxes are hatched in instead of being "checked". Almost like it is summing it all up :banghead:

I just want a report that would display the following:

MAIN FORM DATA:
Member Name
Health Form (Y/N)
Image Release Form (Y/N)
Enrolment Pin (Y/N)
Guiding Year (#)
Membership Year (#)
Join Date (Custom Format)
1, 2, and 3rd year patrol information (text)
Patrol Second (Y/N)
Patrol First (Y/N)
The 8 check boxes for completed program areas (All are Y/N)

Sub-Form Data
All of the badges to make a long list separated by interest area. So all the Y/N fields from the 7 sub-forms.

The report would be for one girl only (whoever's record I was on in the main form). And it would be printable.

Does this make more sense?
 
That is precisely what I had wanted - except, the report is only running for Winnifred. I cannot get it to produce anyone elses.

Second Question:
Why are the check boxes for all the "Fun in the Outdoors" and "Safety" badges hatched grey and not just white in Winnifred's report? In all the other categories, they all look fine, its just the ones where she has no badges earned at all.

Is this a glitch?

No it isn't a glitch, it is because there are no data in the tables for the girl.
I have made some queries so now it works ok, (at least be me :D) and I've attached the database.

When I click your button in the download you provided - for some reason it opens up the other report that I made and not the individual girl report. When I edit the button to open the right report in the property settings, it then opens all of the individual reports as on super long one (this report starts with Winnies since I think her IMIS is first numerically). I do not understand why it isn't working for me.

What version of Access are you using? Could it be because I am opening it in 2007/10 and not 2013 (I have 2007/10 at work and 2013 at home)?

I figured that would be why. In the updated download you provided, this error is corrected for me as well.

Hmm - strange, very strange, I just downloaded the last database I uploaded and it works still as expected. I've attached a picture that show it. I've made a circle around the button I press and as you see, the report is only of 2 pages.
I use MS-Access 2010.
Try to download the database again to a different folder as usually and also run it from a different folder as usually, (and maybe rename the database).

I re-downloaded it, moved the download to my desktop and renamed it and tried again. I get the same errors.

I have attached 3 screen shots to show you what is happening.

Maybe I would be better off if you just explained how you made the report and queries and I tried myself. Especially since yours is working for you and magically seems to stop functioning as soon as I open it :banghead:

then the correct report is open.
