I have been working on a database that has a field called terminated (y/n) How do I archive the old records so they do not show up on the form list? I also want to keep these records for a year and then have them deleted. Any suggestions would be grately appreciated.

If you base the form list on a query you can select the records you want to show. If you are going to delete the records after a year then you need to store the date when they were terminated. Then you could run a Delete query to delete all records that were teminated more than a year ago.

I have a form with a subform this wouldn't change anything because I have created a qry called terminated but the data still shows up inside the form.

In the Query criteria field for the subForm for terminated just put True

Is your form/subform based on the table or on queries. If you base them on queries you will find this much easier.

The data is still showing up in the form and I have made the required changes you have suggested. Problem has been resolved that you to everyone who helped me on this problem.
