Chart shows only sample data

In the design view and layout view Access only shows this default sample data (North South West) and not my data. My data does appear in the print preview, but it is very difficult to format my charts if I can not see my data while I'm doing it.

In some cases after I've changed something in the layout view then looked at the print preview, then switched back to the design view my data will appear in both the design view and layout. I can not figure out what triggers this change.

I sure wish someone would respond to this question because I'm having the exact same problem. I actually fixed it with one chart but have no idea how and now I have other charts I want to generate and can't get it to show my data instead of the North, South, etc.

Go into the design view of your form or report, make change(s), view in print preview and save your form or report, then close. Next time you open, it should revert to the saved format.

Good luck

Thanks, Carol! Now, how do I change the legend? I have it set up to count by a Y/N criteria in a stacked chart. The legend, however, shows 0 and -1 on the printed report even though I changed it to pass/fail in the datasheet. How can I change the legend where it will match the datasheet and preview?

Also, I want to change one of my input forms to automatically number the inputs but I want it keyed by the year and a sequential numbering system (i.e., 2000xyz, where the occurrence was in the year 2000 and the sequential number ranges from 001 to 999). How do I do that? I've signed up to take additional Access courses but they're not being held until August and September and I'd like to go ahead and set the form up now. BTW, there will be a range of years (from 1995 and up) and I want to make sure that whatever I use doesn't go in and change the existing data (i.e., data from 1995 doesn't get attributed to current year).

Thanks!

Go into the design view of your chart and click on the actual chart area and then open up the properties. You will receive options, use the Chart Edit Option. You can then set any options you need through this. If you only want to change the legend, click on the legend itself and this up open up the properties. If you want the chart to display current information as asked by the user, then the user would have to be prompted for the required date series from your underlying query.

It's probably just my unfamiliarity with the program but I'm STILL having problems with the sample data. I've saved and closed and gone back in and still get the N, S, E, W garbage when I'm actually looking for ship names.

I guess it was a fluke when I got it to work on my other charts. I've been trying all afternoon and still can't get it to work today.

I also have had no luck changing the legend from 0 and -1 to Yes and No -- probably because I can't see my data on the datasheet.

I'm getting thoroughly exasperated but I'm also too stubborn to give up. I've just never had so much trouble learning an application before . . .

Should I invest in an "Access for Dummies" book or does anyone know if there is a website along those lines?

Still no luck. I still get the "default" sample data and the legend is still at 0 and -1 on the preview.

Can someone please pass on a foolproof way of getting my data on the design view chart and datasheet? As I mentioned before, the print preview shows my data but I still get East, West, North and 1st Quarter, 2nd Quarter, etc., on the design view datasheet and chart. I'd just settle for fixing that at this point and worry about the legend later . . .

I'm also wondering if this is something that was fixed by a newer version of Access. I'm currently using Access 97. Does the 2000 version have the same problem?

One more question . . .

How do I change the size of the chart? Every one I've created ends up being about 3" x 2" and if I stretch it, only the frame stretches, not the actual chart.

I'm beginning to think I'd be better off exporting the data to Excel and generating my chart there.

Also, about the legend, I tried what Carol suggested but when I click on "Chart Edit" and then on the legend, I don't get the option to open "properties." It only gives the option to "format legend" which won't allow me to anything but change the pattern, font, and placement.

Has anyone found out yet how to change the legends? I also tried Carol's suggestion, and when I clicked on the chart area and right-clicked - Properties - It was just the Chart properties.

Anyone know how????

Thanks!!!

Regarding saving the chart in view mode, I found that the chart had to be maximized at the moment I saved it in order to save the actual data. At least that's what seemed to work for me.

Anyone out there know how to change the chart legend??

Thanks!!

I am very new to Graphing. , but I went to properties and found the recordsource for my graph. When I click on the elipse marks I actually see my data instead of the test data. From here I was able to modify the legend. Hope this helps..

After puting up the chart go, select it and go to properties.

Under properties ALL click on Row Sorce and to the right find the ... and put the text in the appropate field title Ex. This is the ledge: use the colon and then a space before the field name.

Joanne

I would like to know how to view the actual chart in design view also.

All you need to do is finish the graph, get the bad data and press F5!!!!!!
thats all there is to it. no SQL no VB just F5!!!
