I am looking into an automated solution to run organisation charts from MS Access.

There are a number of free and paid applications in the market but many of them require modification of the existing table structures in our employee database, such as adding org chart box ID, Parent ID (reporting manager ID) etc. which demand very careful mapping for each employee in the reporting hierarchy. I would avoid this task unless it is really necessary.

We just need to display org chart title, department, employee name, job title on the org chart boxes and most applications provide more sophisticated features than what we require.

I know we can run Visio org charts from Access or Excel exported from the database but it has restrictions. Firstly, we have to run org charts whenever there are employee changes - it would be a pain to run new org charts regularly for our organisation with 9 groups and 5000+ employees. There is no option to refresh data on org charts created. The Data Link feature in Visio does not help when there are new employee added or employee transfers from one group/manager to another. Secondly, size of the org chart box does not automatically wrap text inside it. e.g. longer name or title will go outside the borders of the box. Also, boxes will go outside the boundaries of the Visio org chart if there are too many direct reports under one manager. All these issues need to be fixed manually each time we run revised org chart versions.

Just wonder if anyone out there have better suggestions on a more user-friendly way to automate our org chart generation process.

Thanks

hi mlai08,

Access could indeed do it! ... would take some logic and coding -- so if you're interested to find out how, there's a user group meeting tomorrow about drawing reports in Access. It might be kind of late for you though, depending on where you are since it is 6:30 pm on the Pacific coast! (very early Friday morning for UK and Europe!) @GPGeorge hosts the meetings each month, anyone who loves Access is welcome!

Here's the link in case you want to come:

thanks for mentioning it, Tony @Uncle Gizmo!

Yes, actually. However, these folks like the way PowerPoint looks and that is what they will be using.
