Insert OLE Object (Mainly Word Docs)

Hello,
Quick overview so you understand: I have two databases, one which contains form(s) that allow users to enter in legal type cases. It has a subform in which has four fields to insert OLE objects. This form draws its data from a linked table in a database called Attachments. Not all cases have 'attachments' & the attachments are associated to cases by case number.
Anyway, my delima is - I am trying to make a less 'clunky' way for the end-user to insert objects to the cases. Currently, they can click on a button that will open the Insert Object box. It isn't that complex for a developer to use, but the regular end user, it is quite complex. Also, once an object has been inserted, it renames it. (FYI: These objects are being imported & not linked) When inserting the object, you can decide you want it to be an icon shown in the OLE field & thus you can name it there. But the problem is, if you double-click to open the document it gives it a new name that is associated with the form name. It does not retain the original file name. Does anyone know of a way for it to retain the original file name??

That is my 'biggest' problem here since these files maybe updated & even emailed - Being that they are legal documents, it would be good that they retain the name. I have just begun to use OLE objects fields so I am very, very new to this. So...I would appreciate any assistance/ideas from you guys! :)

I may well be missing the point here but have you considered storing the documents in a network folder and simply hyperlinking to them? You wouldn't need ole objects and ole eats up memory. Just my two penn'orth :)

....I'll explain & then I will gladly take what you say into further consideration. This DBase may eventually be placed on a server in Washington DC & used throughout the rest of the US - Serveral regions. At that time, I will probably be using SQL server as the backbone & access as the front end - But that's another story.
....In each region, a user may insert a document to a region specific case - That's fine. But if someone in Washington wants to look at that case, they will not have access to that folder. Which to my understanding, they will not be able to open the document. Also, this may defeat the purpose of centralization - Which is why it would be put on one server. Further that would mean that each region would have to not only give access to each regions folders containing the documents, they would have to have that 'drive' mapped so that they would have access to it. Or they would all have to have access & mapping to Washingtons folders to put the documents there. If they can embed the file in the actual case, it would be placed right on the main server. I am trying to make this as automated as possible.
....BarryMK, I may be going at this totally wrong. The concept I have in my mind may not be a very good one? I am very open to other/better ideas that you (Or anyone else) may have to help me here.
